POSITION SUMMARY

The Sales & Logistics Support Assistant inputs customer orders, coordinates shipment of customer orders, maintains inventory control and produces customer invoices. Updates shipping schedules, scans/faxes inspection reports to customers and maintains files. Updates and maintains sales and shipping reports. Distributes literature to potential sales leads.

Essential Functions Statement(s)

  • Uses computer software to input purchase orders from customers. 
  • Performs general order entry, including modifications on purchase orders and receipts of overseas product, and makes necessary inventory adjustments. 
  • Coordinates overseas outbound shipments with freight forwarding companies. 
  • Maintains inventory control by inputting shipments, transfers and daily production amounts into system. 
  • Attends production planning meeting to help manage product for inventory and ship to full orders. Reconciles inventory at month end. 
  • Produces customer invoices, scans, emails and fax to customer. 
  • Updates and maintains shipping schedules as needed, and fax updates to distributor. 
  • Retrieves inspection reports for shipped product and faxes/emails reports to distributor/customer. 
  • Produces and distributes open order and shipped status reports as needed. 
  • Compiles and completes month end reports, inventory reports, open order and shipped status reports. 
  • Places orders for finished goods from parent company when needed. 
  • Distributes literature to potential sales leads and completes miscellaneous filing. 
  • Responsible for written correspondence with distributors and customers. 
  • Schedules shipments to customers in accordance with both the sales and production schedules. 
  • Updates all sales and inventory reports monthly; semi-annual budget and forecast for all products; operating standards and FAOS annually. 
  • Completes all other duties as assigned.

SKILLS & ABILITIES

Education

Associate's Degree (two year college or technical school) Required, Field of Study: Business, Accounting or other closely related field.

Experience

2 plus years of relevant experience preferred.

Computer Skills

Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint) and other shipment tracking software.

Possess strong oral, written and interpersonal communication skills. Ability to read, write, speak and understand English. Good organizational and planning skills. Ability to effectively deal with all levels of people, prioritize work, and deal with interruptions and conflicting deadlines. Mental capability to perform complex math computations.

Work Environment

Works primarily in an office environment with occasional exposure to manufacturing and production areas.
